Overview
Document Coordination is an administrative document management service. DeedSide organizes, collects, tracks, maintains, and — with your authorization — distributes the documents a real estate practice generates, so every file is complete, consistently structured, and locatable when it is needed.
The work is clerical and procedural. We populate your own approved forms from information you supply, route items for signature, follow up on what is outstanding, apply consistent naming and version control, and archive completed files on the retention schedule you specify. For example: a purchase agreement is executed and the file is opened the same day, disclosures are routed for signature in sequence, outstanding items are chased on a documented cadence, and a missing-document audit runs before the file goes to closing.
Document Coordination does not include legal document drafting, legal advice, interpretation of contract language, title examination or opinions, accounting or bookkeeping, or brokerage supervision. We do not sign on your behalf or explain document terms and consequences to your clients. Those functions belong to you, your attorney, your title company, your accountant, and your broker.
Purpose
Document work is where transactions quietly break down. The failure is rarely dramatic: an addendum that was never countersigned, a disclosure that was signed but never filed, a lender request answered with the wrong version, a closing file that three people search for in three different places. Each is small on its own and each is entirely preventable with consistent administration.
The purpose of Document Coordination is to make that layer reliable — one structure, one naming convention, one place where the current version lives, and one person responsible for knowing what is still outstanding — so files are complete at closing rather than reconstructed afterward.
Common Problems Solved
- Final and draft versions of the same document are impossible to tell apart
- Folder names differ by file, so nothing is where anyone expects it
- Missing signatures and initials are found at the worst possible moment
- Archived files cannot be produced quickly when requested
Who It's For
- Independent agents with more document volume than time to file it
- Investors maintaining document sets across multiple properties and entities
- Landlords and property owners keeping lease, tenant, and vendor records in order
- Anyone reconstructing files after the fact instead of building them as they go
- Small teams needing one shared filing standard rather than several
- Attorneys and brokerages needing matter or compliance file administration
What's Included

- Consistent file-naming convention applied across every document and file
- Subfolder structure by category: agreements, disclosures, addenda, financing, title, correspondence, and closing
- Separate structures maintained for transactions, listings, properties, tenants, and vendors
- Migration and refiling of existing documents into the new structure
- Document checklists built per file type so completeness can be measured
- Access permissions configured for the people you designate
- Written documentation of the conventions used, so the structure survives handoff

- Flagging of items received but unsigned, undated, or incomplete
- Missing-document audits before submission, broker review, or closing
- Follow-up history recorded so each attempt is documented
- Closed-file report listing every document and its final status

- Amendments and addenda linked to the agreement they modify
- Removal of stray duplicates from working folders while retaining an archive copy
- Verification that circulated documents are the executed version, not a draft
- Change history noted where a document has been revised more than once

- Sensitive documents such as financials and identification filed with restricted access
- Secure links or platform sharing used rather than unprotected attachments where available
- Confidential treatment of all client, tenant, and property documentation

Frequently Asked Questions
- What does Document Coordination include?
- File organization and naming conventions, document collection and signature routing, written tracking of received and outstanding items, version control, secure organization and redaction, authorized distribution to lenders, title, attorneys and clients, and full closing file preparation and archiving.
- Who is this service designed for?
- Independent agents with high document volume, investors managing document sets across properties and entities, landlords maintaining lease and vendor records, small teams needing one filing standard, and attorneys or brokerages needing matter and compliance file administration.
- Do you draft documents?
- No. We populate your own approved forms and templates from information you supply. Drafting contracts, amendments, leases, or legal instruments requires an attorney or licensed professional.
- Do you review documents or advise on their content?
- No. We verify administrative completeness — whether signatures, dates, and initials are present and whether the file is missing items on the checklist. We do not review substance, interpret terms, or advise on content.
- Can you explain a document to my client?
- No. Explaining terms, consequences, or options is a licensed or legal function. We can transmit documents and confirm receipt, and we refer substantive questions back to you.
- Do you sign documents on my behalf?
- No. We never sign, initial, date, or execute anything for you or any party. We route documents for signature and track completion.
- Do you examine title?
- No. Title examination, title opinions, and title insurance are provided by a title company or attorney. We collect, file, and distribute title documents administratively.
- Do you handle accounting or trust funds?
- No. We do not perform bookkeeping, tax preparation, or trust and escrow accounting, and we do not handle client funds. We can file the documents your accountant or title company produces.
- Is this brokerage supervision or compliance responsibility?
- No. We are not a brokerage. We assemble and submit compliance files per your brokerage's process; responsibility for compliance and licensee oversight remains with your broker.
- Which systems do you work in?
- Yours. Google Drive, Dropbox, OneDrive, your brokerage platform, or your e-signature tool. We work under the access you grant and do not require new software.
- How is sensitive information protected?
- Access is limited to what the task requires and is revocable at any time. Sensitive documents are filed with restricted access, secure sharing is used where the platform supports it, and information is redacted before external distribution when appropriate.
- How do you handle version control?
- One current version is clearly identified, drafts and superseded copies are labeled and archived rather than deleted, amendments are linked to the agreement they modify, and we verify that circulated documents are the executed version.
- What is a missing-document audit?
- A check of the file against its checklist before broker submission or closing, producing a written list of what is absent, unsigned, undated, or incomplete — with time remaining to correct it.
- Will you follow up on outstanding signatures?
- Yes, on a documented cadence, with every attempt recorded. If a party remains unresponsive as a deadline approaches, we escalate to you rather than deciding how to proceed.
- Can you distribute documents to my lender and title company?
- Yes, with your authorization. Each distribution includes a transmittal note listing what was sent and to whom, and delivery is logged in the file record.
- Can you reorganize files I already have?
- Yes. File System Setup establishes the structure, naming convention, and checklists, then migrates existing documents into it and documents the conventions.
- What do I receive at closing?
- A complete assembled closing package, verification that required signatures and dates are present, a closing summary listing every document in the file, and an archived copy on your retention schedule.
- How is Document Coordination priced?
- Per file, as a one-time file system setup project, monthly for ongoing support, or combined with another service. Scope and pricing are confirmed in writing before work begins.
- How do we get started?
- Start the conversation. We review your current filing practices and systems, confirm the structure and conventions in writing, then begin coordinating your files.
- Can I purchase Document Coordination on its own?
- Yes. Document Coordination can be retained as a standalone service, or combined with other services under a single ongoing engagement.
- Can the service be customized?
- Yes. Every engagement begins with a review of how you currently work. The task list, turnaround expectations, and reporting cadence are documented in a written scope before work begins.
- How do I get started?
- Complete the Partner Inquiry or schedule a consultation. We review your current volume and processes, propose a scope, and begin once it is confirmed in writing.
