CRM Organization

A database you can actually rely on.

Overview

CRM Organization is an administrative service focused on organizing and maintaining the client relationship management system you already own. DeedSide works inside your existing platform — Follow Up Boss, KVCore, Wise Agent, LionDesk, HubSpot, Salesforce, a Google Contacts and spreadsheet setup, or whatever you currently use — and brings the data inside it into a consistent, current, usable state.

The work is data and process work: consolidating contacts, eliminating duplicates, standardizing fields and tags, defining stages, logging history, and keeping records current as new activity arrives. Practically, that means a database where searching "past client, Oakland County, closed 2024" returns an accurate list instead of a partial one.

DeedSide does not build or develop CRM software, provide IT or technical support, administer your accounts or security, recommend which platform to purchase, or provide sales coaching, lead generation, or marketing services. We organize and maintain the system you have chosen.

Purpose

Most CRMs fail from neglected data entry, not missing features. A database becomes unusable gradually: the same contact exists three times under three spellings, half the records have no source or stage, notes from a 2023 conversation live in a text thread instead of the record, and follow-up happens by recollection rather than on schedule. Eventually the system is avoided, and the relationships inside it go cold.

The purpose of CRM Organization is to restore and then maintain the discipline the system depends on, so the pipeline you see when you log in is the pipeline you actually have — and so institutional knowledge lives in the database rather than in individual memory.

Common Problems Solved

  • The CRM holds thousands of contacts with duplicates and stale data
  • Nobody trusts the database, so contacts live in a phone instead
  • Past clients and referral sources are never separated from cold leads
  • Follow-up reminders were never set up, so relationships go cold

Who It's For

  • Independent agents whose database has fallen out of date and become unusable
  • Investors tracking seller, buyer, tenant, and vendor relationships across properties
  • Landlords and property owners maintaining tenant and vendor contact history
  • Agents switching platforms who need existing data organized in the new system
  • Small teams that need one shared standard rather than several personal ones
  • Anyone whose contacts are spread across a phone, an inbox, and several spreadsheets

What's Included

CRM Review & Assessment

  • Review of your current platform, configuration, and how you use it day to day
  • Inventory of every place contact data currently lives: CRM, phone, email, spreadsheets, portals
  • Assessment of record count, duplicate volume, and completeness of key fields
  • Identification of which fields, tags, and stages are actually in use versus abandoned
  • Review of existing automations and templates already configured in the platform
  • Written findings summary describing the current state and what cleanup will involve
  • Proposed field, tag, and stage conventions for your approval before changes begin
  • Confirmed scope, sequence, and access requirements in writing

Contact Organization

  • Import and consolidation of contacts from every identified source into one system
  • Standardized name, address, phone, and email formatting across all records
  • Completion of missing fields from information available in your own files
  • Consistent naming conventions applied — for example, one spelling standard for "St." versus "Street"
  • Household and relationship linking, such as spouses or co-investors on one file
  • Company and vendor records organized separately from individual client records
  • Source field populated so each contact's origin is identifiable
  • Contact ownership assigned correctly on shared team databases

Data Cleanup

  • Duplicate identification and merging, with history preserved from every merged record
  • Correction of misspelled names, transposed fields, and misplaced data
  • Removal or flagging of invalid emails, disconnected numbers, and undeliverable addresses
  • Identification of stale records with no activity across a defined period
  • Archiving rather than deletion of inactive records, so nothing is lost
  • Resolution of records sitting in no stage or in a stage that no longer applies
  • Cleanup of unused, redundant, or conflicting tags accumulated over time
  • Pre-cleanup export retained as a restore point before bulk changes

Contact Categorization

  • Category structure defined by relationship type: buyer, seller, past client, investor, landlord, tenant, vendor, referral source, sphere
  • Pipeline stages defined with plain-language criteria for what belongs in each
  • Existing records placed into the correct stage based on documented activity
  • Tags applied for geography, property type, price band, or timeline as relevant to your work
  • Referral-source tagging so you can see where business actually originates
  • Vendor categorization by trade or function for coordination purposes
  • Segmented lists built for correspondence you direct — past clients, active buyers, a specific area
  • Written definition of every category and stage, so the structure stays consistent

Notes & Activity Organization

  • Historical notes, emails, and call summaries logged into the correct contact record
  • Transaction history attached to the client record, including addresses and closing dates
  • Consistent note formatting — dated, attributed, and factual rather than fragmentary
  • Documents and attachments filed to the record where the platform supports it
  • Property and address history recorded on investor and landlord files
  • Prior communication threads summarized into the record for context
  • Task and reminder configuration for the follow-up cadence you specify
  • Activity logging kept current as new calls, emails, and meetings occur

CRM Maintenance

  • Ongoing entry of new leads, referrals, and inquiries as they arrive
  • Activity and note logging on a defined recurring schedule
  • Recurring hygiene passes for duplicates, bad contact data, and stalled records
  • Stage updates as transactions and relationships progress
  • Follow-up task creation and reminder upkeep on your specified cadence
  • Periodic database summary showing record counts by category and stage
  • Pipeline reporting drawn from the platform's own reporting tools
  • Maintained written documentation of conventions, updated as they change

Typical Deliverables

  • A written assessment of your current CRM state and cleanup scope
  • A documented field, tag, category, and stage convention approved by you
  • A consolidated, de-duplicated contact database inside your existing platform
  • An archived record set and pre-cleanup export retained as a restore point
  • Contacts categorized by relationship type and placed in the correct pipeline stage
  • Historical notes, transactions, and activity logged into the correct records
  • Configured follow-up tasks and reminders on your specified cadence
  • A periodic database and pipeline summary during ongoing maintenance
  • A written conventions document so the structure survives after handoff

Benefits

  • A database you can act on rather than one you avoid opening
  • Search and segmentation that return accurate lists, not partial ones
  • Follow-up that happens on schedule instead of by recollection
  • Reporting that reflects the pipeline you actually have
  • Institutional knowledge retained in the system rather than in individual memory
  • Documented conventions, so the database does not degrade again
  • Visibility into where your business genuinely originates

Frequently Asked Questions

What does CRM Organization include?
A review and assessment of your current system, contact consolidation from every source, data cleanup and de-duplication, categorization by relationship type and pipeline stage, notes and activity logging into records, and ongoing maintenance — plus written documentation of the conventions used.
Who is this service designed for?
Independent agents whose database has fallen out of date, investors and landlords tracking seller, buyer, tenant, and vendor relationships, agents switching platforms, and small teams needing one shared standard instead of several personal ones.
Do you require a specific CRM?
No. We work inside the platform you already use — Follow Up Boss, KVCore, Wise Agent, LionDesk, HubSpot, Salesforce, or a contacts-and-spreadsheet setup — and document what your current configuration supports.
Do you build or develop CRM software?
No. We do not develop software, write code, or engineer platform customizations. We organize and maintain the data and structure inside the system you own.
Is this IT support?
No. We do not provide device setup, troubleshooting, network help, or account security administration. Technical issues with the platform go to its own support team.
Will you recommend which CRM I should buy?
No. Platform selection and purchasing are your decisions. If you have already selected a new platform, we can organize your existing data for the transition.
Do you provide sales coaching or marketing?
No. We do not provide scripts, conversion training, campaign strategy, copywriting, advertising, or content creation. Our work is the administrative organization and upkeep of the database.
Do you send marketing emails or make calls?
No. We prepare and maintain the data and build the segmented lists you direct. Outreach, messaging, and sending remain yours, along with responsibility for compliance under applicable communication and privacy laws.
How do you handle duplicate contacts?
Duplicates are identified and merged with history preserved from every merged record — notes, activity, and transaction details are retained rather than overwritten. A pre-cleanup export is kept as a restore point before any bulk change.
Will you delete my old contacts?
No. Inactive and stale records are archived or flagged, not deleted, unless you specifically instruct otherwise in writing.
What if my contacts are spread across several places?
That is the common starting point. We inventory every location — CRM, phone, inbox, spreadsheets, portal exports — and consolidate them into one system with consistent formatting.
Who decides the categories and stages?
You do. We propose a structure based on how you actually work, confirm it with you in writing, then apply it consistently and document the definitions.
How is my data kept secure?
We work under the access you grant, use only the permissions the work requires, treat all contact data as confidential, and can have access revoked at any time. We do not export, retain, or reuse your data outside the engagement.
How long does a cleanup take?
It depends on record volume and how many sources are involved. A single-source database of a few thousand records is typically a short project; a multi-source consolidation takes longer. We confirm scope and timing in writing after the assessment.
What happens after the cleanup is finished?
You receive the documented conventions and can maintain the system yourself, or continue with ongoing maintenance so new records, activity, and stage changes stay current.
Can this be combined with other services?
Yes. CRM Organization is frequently engaged alongside Administrative Support or Transaction Coordination, so closed transactions and new contacts flow into the database as they occur.
How is CRM Organization priced?
As a defined project for cleanup or transition work, or on a recurring basis for ongoing maintenance. Scope and pricing are confirmed in writing before work begins.
How do we get started?
Start the conversation. We review your current system, provide a written assessment and proposed conventions, and begin once you approve the scope.
Can I purchase CRM Organization on its own?
Yes. CRM Organization can be retained as a standalone service, or combined with other services under a single ongoing engagement.
Can the service be customized?
Yes. Every engagement begins with a review of how you currently work. The task list, turnaround expectations, and reporting cadence are documented in a written scope before work begins.
How do I get started?
Complete the Partner Inquiry or schedule a consultation. We review your current volume and processes, propose a scope, and begin once it is confirmed in writing.
